Job Description

Our client is seeking an experienced Commercial Building Manager. In this role, you will be accountable for supporting the management and operations of premium commercial office buildings within the company’s portfolio. This role prioritizes delivering exceptional customer service to Clients, investors, and vendors through innovative and responsible building management practices. The Building Manager, based in Washington, DC, will oversee seven (7) assignments primarily focused on office properties, requiring regular visits to properties. Collaboration with various internal departments such as Building Services, Leasing, Construction Management, and Accounting is essential to ensure exemplary service delivery.

Responsibilities

  • Develop and maintain professional relationships with tenant representatives by regular visits.
  • Collaborate with internal departments and external contractors to offer top-tier service to Clients.
  • Ensure familiarity with all lease terms and requirements.
  • Utilize Electronic Tenant Solutions software for client communication.
  • Coordinate Client relations activities.
  • Promptly respond to Client inquiries and service requests.
  • Perform administrative duties including invoice approval and contact management.
  • Assist in budget preparation.
  • Issue and maintain Client Manual.
  • Assist in contract management and preparation.
  • Support in planning and executing building-wide Client events.
  • Provide backup for lobby attendant or security guard.
  • Offer notary services to building Clients.

Site Inspections and Building Operations:

  • Ensure proper functioning of building mechanical systems and grounds.
  • Maintain vacant space in marketable condition.
  • Uphold emergency procedures guidelines.
  • Oversee on-site contracted personnel.
  • Initiate and follow up on work tickets.

Contractor Assignments:

  • Act as the primary contact for Client requests regarding contract work.
  • Schedule cyclical maintenance tasks.
  • Manage work tickets and follow up on status.

Client Surveys:

  • Coordinate annual Client survey forms and follow up on evaluations.

Invoices:

  • Initiate invoices for billable work.
  • Code vendor invoices for approval.

Client Move-Ins:

  • Manage procedures associated with Client move-ins.

Special Projects:

  • Initiate major improvement projects.
  • Assist with financial reporting and department-wide programs.

Conference Room Management (If Applicable):

  • Schedule and manage conference rooms.
  • Provide IT support.
  • Oversee general upkeep of conference facilities.

Spending Authority:

  • Obtain approval for expenditures exceeding $1,000.

Miscellaneous Responsibilities:

  • Assist with administrative tasks for Engineering staff.
  • Aid in compliance with internal building operational audit programs.
  • Attend meetings and assist with emergency preparedness and sustainable plans.
  • Support department-wide initiatives as assigned.

Qualifications

The Building Manager will engage frequently with Clients, Building Services staff, and external contractors, necessitating professionalism and adeptness in handling diverse personalities. Strong verbal communication, organizational skills, deadline management, and proficiency in Word and Excel are imperative. Proficiency in various software programs and enrollment in the Real Property Administrators curriculum to attain RPA designation within approximately three years are expected.
